Promotes a positive and professional practice image for Pathways Treatment Center and affiliated behavioral health programs. May work with professional members in the community and the general public. Assists in the day to day operations of the Business Office by maintaining a high level of organization, and a positive and professional environment while multi-tasking and providing outstanding customer service in a high paced office. Performs many duties to facilitate the smooth flow of patients and visitors within the facility.  


  1. Performs administrative functions in support of staff at Pathways Treatment Center, The Newman Center and School Based Mental Health.
  2. Assists with and/or coordinates community presentations and events for facilities and programs listed above. Attends meetings as required and transcribes agendas and minutes for same. Prepares and distributes the Pathways Monthly Newsletter.
  3. Performs customer service duties including answering telephones, paging and transferring calls, greeting patients, visitors and the general public in a professional and respectful manner.
  4. Assists in maintaining Policy and Procedure Manuals for Pathways Treatment Center and all affiliated mental health programs.
  5. Maintains the inventory and orders supplies for the facility following budget and cost saving guidelines.
  6. Completes Turtle Bay admissions and billing by obtaining and verifying demographic and financial information through Turtle Bay staff.
  7. Receives, screens, routes mail, email, and publications; prioritizes or responds to requests for information as necessary in a prompt, courteous, and confidential manner.
  8. Employee is cross trained to assist the Business Office Charge and Medical Records Specialist with all duties as required for each position to facilitate the overall flow of the Business Office at Pathways Treatment Center.
  9. Employee is cross trained to provide clerical support to business office staff at The Newman Center to facilitate appropriate coverage for vacations, leave of absence, short term illness, etc.
  10. Provides assistance with outpatient programs including those at Pathways Treatment Center, The Newman Center, Turtle Bay and School Based Programs by completing tasks including registration, billing, insurance verification, scheduling appointments, maintaining medical records and any other duties as required.


  1. Two years of college or vocational training in the health care field preferred. Minimum of one year experience in a hospital or medical office setting preferred.
  2. Intermediate to advanced computer proficiency with the following computer applications: Word, Excel, Power Point and Outlook. 
  3. Demonstrated ability to use good judgment in setting priorities, meeting deadlines, and multi-tasking.
  4. Proven ability to communicate, both verbally and written, in a clear, concise, and professional manner with patients, co-workers, leaders, and healthcare providers.
  5. Proven ability to establish and maintain effective working relationships with patients, healthcare providers and other clinical staff, and the public.
  6. Experience operating a multi-line phone system preferred.
  7. Knowledge of cultural, ethnic, social, historical and spiritual issues relevant to the provision of mental health treatment preferred.
  8. Knowledge and understanding of confidentiality laws that govern the provider-patient relationship, including but not limited to HIPAA guidelines.
