  • Overview

    Promotes the efficient operations of the Biomedical Electronics department through a variety of office administrative duties. Collaborates with the Biomedical Electronics Supervisor, Biomed Technicians, staff, and leadership, to provide assistance in accomplishing the mission of the Biomedical department. Assists and supports the department in the organizational goals


    1. *Responsible for data entry and tracking of service contracts and compliance of services performed. Responsible for tracking of equipment/department inventories, preventative maintenance schedules, and other information for the Biomed CMMS (Computerized Maintenance Management System) database.
    2. *Communicates with outside vendors for the purposes of scheduling services, confirming information, coordinating sales/service representative visits and/or implementation activities.
    3. *Coordinates appointments/meetings to include meeting agendas, and transcription of minutes.
    4. *Directs work flow of incoming work orders.
    5. *Compiles and tracks Biomed department stats. Creates and submits reports as requested (i.e. Safety, Productivity etc.).
    6. *Ensures manufacturing service representatives return necessary documentation to track services performed. Tracks delinquent equipment due for Preventative Maintenance (PM).
    7. *Exhibits a commitment to professionalism while undertaking all tasks and in all interactions with clients, physicians, facility staff and the community at large.
    8. *Maintains and oversees documentation for the Biomed Electronic Technical Library. Updates and maintains the department information on the Wire. Oversees equipment alerts and recalls.
    9. *Provides reception and administrative duties for the department.
    10. *Responsible for tracking and receiving repair parts, equipment shipped or received from repairs, and proper documentation of services performed.
    11. *Retrieves equipment in need of repair per department protocol. Delivers repaired equipment to the appropriate departments. Schedules and tracks battery disposal.


    1. Minimum of one (1) year work related experience in office role required. Experience in healthcare preferred.
    2. Possess and maintain computer skills to include working knowledge of Word, Outlook, Excel, PowerPoint, Access and ability to learn other software as needed.
    3. Previous experience and knowledge of record keeping, filing and basic office procedures including use of basic office equipment.
    4. Must have a valid Montana driver’s license and a good driving record clear of moving violations in the past five (5) years and no major driving offenses (DUI, etc.).
    5. Excellent communication skills, both verbal and written, required.
    6. Must have ability to complete assigned projects in an autonomous manner, including multi-tasking and prioritizing in an organized, effective and timely manner.
    7. Possess sound judgment and ability to be a proactive problem solver with prevention insight.
    8. Self-starter with customer service and organization skills and must be able to function as a team member.
